POSITION SUMMARY
The Supervisor, Tenant & Facilities Maintenance, supports and collaborate with the Director, Safety & Parking Services, to ensure the consistent delivery of high quality day-to-day contracted maintenance and repair services, including cleaning and custodial, inspection, mechanical, plumbing and drain, painting, electrical and lighting, paved and landscaped surfaces and building amenities to maximize the life-cycle of building systems and infrastructure, and contribute to an exceptional customer experience at all Green P facilities and properties under TPA operational jurisdiction.
The incumbent is customer-centric, highly analytical, with strong communications skills, works collaboratively with both internal and external stakeholders, including City of Toronto agencies and departments as well as private sector partners and ensures alignment with TPA's annual operating and strategic plans.

RESPONSIBILITIES
Tenant & Facilities Maintenance Management
- Monitors the condition of, and arranges as necessary, the maintenance and repair needs for all TPA facilities (rental and owned), including emergency power, environmental control and fire life systems, lighting, paving, drainage, structural, painting, cleaning, custodial services, pest control and others.
- Completes incident/injury reports and addresses damage claims as necessary.
- Ensures the efficient and effective use of all materials, vehicles, equipment, tools and supplies required in the conduct of facility maintenance and repair activities.
- Supervises and coordinates the day-to-day delivery of facility maintenance and operational objectives, and preventive maintenance programs of the TPA’s facility maintenance operation through effective leadership and operational efficiency, in accordance with TPA and industry-best targets, standards and values.
- Conducts ongoing business assessment to identify areas for continuous improvements in work processes, policies, standards, equipment, work methods and communication and provides appropriate recommendations.
- Takes responsibility for the tenant programs for TPA, liaising directly with tenants, property maintenance providers, external contractors and management teams at TPA and CREM, to advance and manage program effectiveness.
- Ensures compliance with legislative requirements prescribed by various Codes and Acts.

- In coordination with the Manager, Facility Maintenance, plans, coordinates, directs, reviews the activities and schedules field supervisors and staff involved in the delivery of maintenance and repair activities at TPA facilities, in accordance with published procedures and Collective Agreement.
- Provides contract management oversight for maintenance contracts and oversees associated inspection requirements of work performed by general and sub-contractors; oversees compilation of maintenance contracts and procurement process, including estimating, scheduling, phasing and coordination of construction and maintenance work; assists in verification of quantities and contract work completed.
- Ensures compliance with applicable employment laws including Occupational Health and Safety and Regulation for Industrial Establishment, WHMIS Regulation, Employment Standards Act and Ontario Human Rights Code.
- Assists in the preparation of annual operating budget for tenant related facilities, repair and preventive maintenance programs and ensures compliance with annual operating budget; contract, equipment and materials budgeting and ensures compliance.
- Assesses and provides input into the development of annual capital budgets.
- Responsible for processing payment of contractor/maintenance provider invoices in SAP
- Responds promptly to tenant inquiries and complaints; ensures customer satisfaction with any concerns related to the TPA facility rental agreements.
- Liaises with local business community and other TPA stakeholders, and attends meetings as needed on projects that affect neighbours and the community.
QUALIFICATIONS:
- A university degree, college diploma or a combination of equivalent experience in contract management, or related area.
- Minimum of five (5) years’ experience in facilities, operations, or other relevant experience.
- Experience in staff and resource allocation, maintenance, repair and construction work.
- Strong working knowledge of employment laws, including Occupational Health and Safety Act, Regulation for Industrial Establishments, WHMIS regulations, Employment Standards Act and Human Rights Code.
- Experience working in a unionized environment, applying Collective Agreements
- Holds a Class “G” driver’s license in good standing.
- Able to maintain a calm, professional approach when dealing with difficult situations.
- Demonstrated proficiency with MS Office.
- Experience in developing and managing budgets including cost estimates.
- Sound knowledge of procurement processes, contract management, and contract law.
- Detail-oriented with the ability to handle competing priorities while remaining flexible and adaptable in a complex and changing work environment.
- Demonstrated project management, conflict resolution and negotiation skills. Sound judgement and decision-making skills.
- Excellent interpersonal skills with the ability to establish and maintain good working relationships, demonstrated ability to work as an effective team member.
- Demonstrated written communication skills to draft clear and concise correspondence and formal reports.
- Strong analytical, mathematical and statistical skills to organize and interpret data, identify trends, and develop recommendations and implementation plans.
- Developed decision-making, creativity, critical thinking and problem-solving skills to derive solutions and appropriate responses to problems in the face of conflicting needs.
