ABOUT THE ROLE
Reporting to the Manager, Strategic Sourcing and Procurement, the Procurement Coordinator is responsible for coordination and facilitation of procurement activities, ensuring TPA’s purchase order management processes are aligned with TPA’s policies. This position provides support to business units and leadership on best practices in SAP throughout the Procure-to-Pay process as well as establish process controls through governance and reporting. The coordinator will be integral in maximizing organization value, while providing exceptional customer service and being an innovative and creative business partner for internal stakeholders. This position will act as gatekeeper for purchasing process workflows in SAP.
This position facilitates continuous improvement of Procure-to-Pay processes in SAP throughout TPA and works cross-functionally with business units to meet enterprise compliance expectations. The Procurement Coordinator is a highly collaborative role, working closely with stakeholders, applying their understanding of the business to drive results and customer satisfaction.

RESPONSIBILITIES
- Execute and support continuous improvement of best practices in SAP throughout the Procure-to-Pay process
- Interpret supplier contracts; set up PO and outline contracts in SAP for efficient execution and effective business unit spending controls
- Review purchasing requests from business stakeholders and communicate with stakeholders to resolve inaccuracies or other purchasing issues on a timely basis
- Generate, process and maintain Purchase Orders in SAP in accordance with TPA policies and approval requirements while maintaining appropriate documentation against established contracts, accurate cost accounting and effective spend controls
- Ensure supporting standardized documentation is attached to purchasing transactions to meet audit requirements reinforced by ongoing training.
- Ensure understanding of TPA procurement and accounting policies to ensure achieving compliance.
- Act as a liaison providing training as well as hands-on support to business stakeholders on best practices in SAP, particularly towards creating purchase requisitions and receiving
- Create and regularly update detailed documentation and how-to guides for all processes related to purchasing
- Support continuous improvement of established purchasing processes with company wide training sessions.
- Provide reporting to business owners related to contracted and approved spend controls, timely receiving etc.
- Follow-up with and support business owners to resolve any challenges related to timely purchase requisitions, approvals and receiving
- Develop internal dashboards, metrics and benchmarks for evaluating continuous improvement
- Provide general administration and project support as needed (i.e. PO and invoice matching and clearing).
- Duties as assigned within the functional areas of finance and procurement
- Complete other duties as assigned.
QUALIFICATIONS
- Post Secondary Diploma/Degree in Business Administration or Finance or equivalent field or a combination of relevant work experience.
- Minimum three (3) years of experience in purchasing, logistics or procurement and relationship management
- Experience in the public sector (preferred)
- Knowledge of project management and contract management processes is desirable
- Experience with a large ERP system (such as SAP)
- Experience with PR/PO/Receiving functions in SAP (or any large ERP) is essential
- Excellent customer service and communications skills (including oral, written, and visual).
- Accuracy and attention to detail are key to this position
- Strong desire and ability for continuous process improvements
- Strong organizational and Time management skills;
- Ability to perform job with a sense of urgency and manage to deadlines.
- Technical proficiency in Microsoft Office Suite, including Word and Excel
- Ability to function successfully both independently and within a team
- Strong analytical skills
- Ability to interpret supplier contractual terms and conditions (preferred)
- The ability to critically analyze and simplify problems, leverage creativity, use sound and logical judgement
- Detail oriented with the ability to handle competing priorities while remaining flexible and adaptable in a complex and changing work environment
